STANDS SET UP AND DECORATION REGULATIONS
|
Each stand will cover an area of 3.48 m2, with standard panels:
A back panel of 2.40 m width x 1.70 m height
Two lateral panels of 1.45 m width x 1.35 m height
If a seller decides not to use the panels provided by the organization and wishes to use his own set up (prior authorization is required), the area of the panels will remain the same and this has to be respected .
Decoration
- Decoration of the stands will be done on Wednesday May 9th, from 9:00 am to 6:00 pm.
- No smoking, food nor beverages are allowed within the exhibition areas, during this process.
- It is forbidden to nail, paint, or fix objects with adhesive, glue or tape in the hotel exhibition area (walls, doors, windows, carpet, etc.).
- Flammable gas balloons for decoration purposes are not allowed.
- Each seller must protect his or her own working area from damages and will be responsible to the hotel’s rules.
- It is absolutely prohibited to paint, nail, saw or fix objects with adhesive, glue or tape to the stands´ panels. Signs, posters, banners, etc. may be affixed only with tacks. Please do not use staplers.
- In case of damage or alteration of parts of the stands, the seller will be responsible for the repair costs.
- It will be the seller{s responsibility to care for the security of the articles and/or materials set on his stand(s). For said reason, the stand or its components, etc. should not be left without supervision during the negotiation sessions.
- Each seller must bring his or her own staff for carrying and/or installing the stand´s decoration equipment & materials. These staff members must be properly identified at all times with the badge given by the organization.
- The stand´s height may not exceed 1.70 meters. No decoration that exceeds this height will be allowed. This includes all displays and/or banners. An exception applies to those whose location is against the wall areas and who have prior authorization given by the organization. Non compliance with this regulation will force the organization to bar the company from the event.
- Decoration will be allowed only in the area within the panels (2,40 x 1,45 mts). Thus, the use of tents, carpets or any other structure that surpasses the said area will be removed by the event’s staff. Each stand will have a sign with the company name and the stand number, which must be kept visible at all times, for easy identification.
Inventory and insurance:
- The inventory of the equipment and materials will be recorded on Wednesday May 9th, by the aides-de-camp.
- The insurance will only cover electric/electronic equipments duly noted in the inventory.
- Portable/mobile equipments (such as calculators, laptops, notebooks, cellular phones, remote controls, etc.) promotional articles (such as T-shirts, photographs, caps, etc.) decorating and other similar articles not referred to here, are excluded from the insurance coverage.
- Late entrance of equipment or decorative materials will not be allowed. Also, all the promotional materials must be brought on Wednesday May 9th, corresponding to the established schedule.
- Once any non portable electric/electronic or decorating materials have entered the exhibition area, they can not be taken out, until the disassembling day.
- It is recommended to bring your own security padlock for the computers.
Disassembling and inventory
- The document with the inventory of articles and decorative elements of the stand must be presented to exit the convention centre. Please keep your copy of this inventory safe at all times.
